Switzerland for UNHCR (CH4U), the Swiss Foundation supporting the UN Refugee Agency, is looking for an Administrative and HR Assistant to provide administrative and logistical support to the Office Management & HR functions of Switzerland for UNHCR.

The incumbent will perform administrative tasks and provide crucial support in various areas, including recruitment assistance, onboarding, employee life cycle, travel management, IT support, office management, and organization of team events and meetings.

What You Will Do

General Administration

  • Welcome guests and act as the point of contact for the office building’s reception and visitors.
  • Ensure the smooth running of the Foundation’s offices (including P.O. box management, stationery, and consumables follow-up).
  • Oversee petty cash follow-up for office expenses in collaboration with the Accounting Assistant.
  • Perform various administrative and secretarial tasks as required.
  • Ensure that OPS-related invoices are paid on time; contribute to OPS budget follow-up with the Finance Manager.
  • Provide logistical support for internal and external meetings and events, assisting in meeting preparation as required.
  • Act as focal point for travel requests, ensuring proper follow-up and providing support to team members (including flight bookings).

Digital Infrastructure

  • Act as focal point for external IT support and handle general IT queries.
  • Manage IT supplies and inventories (IT materials, mobile and landline numbers).
  • Ensure first-level troubleshooting for on-site IT requests not handled by external support.

Human Resources

  • Assist with onboarding new hires and maintain employee files (work permits, social insurance registrations, pension fund, child allowances, compensation & benefits, leave management).
  • Support the Deputy Executive Director in recruitment processes: job postings, interview scheduling, assessments, and logistics.
  • Assist in preparing and processing monthly payroll.
  • Support administrative tasks related to learning & development programs.
  • Assist with administrative tasks related to performance management processes.
  • Draft HR documents such as job descriptions, announcements, contracts, certificates, and letters.
  • Support the maintenance of the Human Resource Information System (HRIS) and digitalization of HR archives.

What You Bring

  • Minimum 1 year of relevant work experience.
  • Experience with Outlook and MS Office applications.
  • Experience in an international nonprofit organization is an asset.
  • Graduate degree or CFC/professional maturity with equivalent experience.
  • Excellent time management and organizational skills.
  • Strong attention to detail.
  • Ability to use initiative, prioritize, multitask, and meet deadlines.
  • Clear and systematic thinking, strong judgment, and problem‑solving skills.
  • Good analytical skills.
  • Well organized and structured.
  • Ability to supervise an Intern or Apprentice.
  • Ability to manage small projects under supervision.
  • Excellent written and oral communication skills in a fast‑paced multicultural and multilingual environment.
  • Ability to work autonomously and as part of a team.
  • Ability to interact with internal and external stakeholders.
  • Strong commitment to UNHCR’s mission and the refugee cause.
  • Excellent command of English and French (German is an asset).
  • Excellent computer skills (MS Office).
  • Working knowledge of office equipment.
  • Basic troubleshooting abilities for common IT issues.
  • Ability to identify and resolve administrative challenges.
